RTD EcoPass Program

All campus employees are eligible for a free RTD EcoPass that provides free access to most of the Boulder-Denver area public transportation, including light rail and the Ride Home program.

• Fill out the Auraria EcoPass Authorization form to get started.

• Visit Auraria Campus RTD EcoPass for more information and to set up your MyRide account.

• New employees and employees without a pass will need to go to the Auraria Campus parking office with a valid CU Denver ID badge to initiate and activate the new EcoPass.
  
  
• Current employees with an active pass issued by the Auraria Campus parking office may email RTD Just Ride Accounts who will activate the EcoPass.
  

Students, faculty, and staff may park on the Auraria Campus. Visit Auraria Campus Parking and Transportation Services  for availability and rates.

CU Denver faculty and staff have the option of parking in underground garages in buildings managed by CU Denver, including the Lawrence Street Center, CU Denver Building, and the Business School. Obtain an Auraria Campus ID Badge

All faculty and staff are required to have an ID badge and display it while on campus. The ID badge allows you to park on campus, access library services, use the recreation facilities, and gain building access.

1. Email CAP HR for authorization to obtain an ID card.
2. Take the authorization form and a government issued ID to the AHEC ID Station to have your picture taken.
3. Consult with CAP HR and your supervisor and submit an ID encoding form to code your ID badge to allow access to relevant buildings and rooms.
   

Replacement Badges

Lost your badge? A replacement ID badge costs $30.

If your badge is damaged or you need to make changes, the original ID Badge must be returned to the AHEC ID Station and the new badge will cost $30.

Keys

Staff and faculty are assigned a key through CAP HR and will be notified when the key is ready to be picked up from the Facilities Office located on the third floor at 1380 Lawrence Street.

The CU Resources section of the UCDAccess portal is a one-stop shop for all self-service actions and training resources.

A University of Colorado Denver email account and access to the university domain (@ucdenver.edu) will be assigned to all CAP employees upon hire. 

To log in to Microsoft Outlook Email, you will need your single sign-on (SSO) username and password. For new employees, this is typically initiated during the initial onboarding process and then emailed to you when the account is set up.

All official university communications will be sent to your assigned @ucdenver.edu email address. Please check it regularly or set up an automatic forward to your preferred email address.

CAP faculty and staff mail boxes are located in the Student Services suite on the second floor of the CU Denver Building. 

Outgoing mail is collected and sent from the second floor as well. If you have outgoing mail, you will need to provide the sealed package to be mailed and the speedtype to charge.

AHEC Distribution Services will accept all mail and packages for the United States Postal Service, FedEx, and UPS and meter them on your behalf. Charges for mailings will be billed back to your department based on your mail code number.

Shared Governance

Article 5 of the Laws of the Regents specifies the shared governance principles of participation of tenured and tenure-track faculty with appropriate participation of instructional, research, and clinical faculty. A school or college faculty shall collaborate with the dean in the shared governance of the school or college. Subject to any specific Board of Regents’ requirements, the voting and participation of a school or college faculty shall be determined by its tenured and tenure-track faculty.

Colorado Crisis Services

CU Denver Policy 7030: Student Attendance and Absences addresses the issues of student absences, identifies possible accommodations, and outlines both faculty and student responsibilities.

If student attendance and participation are to be part of the graded work for a course, the syllabus should clearly state the attendance policy and the impact on a student's grade, and must be consistent with CU Denver's Attendance Policy. 

If a student challenges an unexcused absence, please follow the process outlined in CAP's Excused Absence Appeal Policy.

CU Denver students with diagnosed disabilities are entitled by law to receive reasonable accommodation necessary to allow them to meet the learning objectives of the class. 

Depending on the specific disability, these accommodations may mean extra time to complete assignments or tests, use of assistive technology, note-taking assistance, service animals, etc.

The student will provide you with a letter from the campus Disability Resources and Services (DRS) that lists the accommodations that have been approved for the student. It is the student's responsibility to obtain this letter and to make sure it is updated for the current semester. 

Classroom assignments are coordinated by Course Coordinator Roxy New and managed by the main campus rooming coordinator. Let your department or Roxy know about classroom needs prior to the start of the semester. 

Contact Roxy for questions on room equipment, capacity, availability, or to request a room change. Efforts will be made to honor all requests; however, due to a campuswide space shortage, this is not always possible.

The Uniform Grading Policy outlines the University of Colorado’s commitment to a uniform grading policy – a policy to be followed by all campuses.

If a student challenges a grade, please follow the college process outlined in CAP's Grade Appeal Guide.

The Family Educational Rights and Privacy Act (FERPA) of 1974 sets for requirements for higher education institutions that protect students' rights with respect to their educational records and other personally identifiable information.

Violations of student rights can lead to serious consequences, such as lawsuits and/or the withholding of federal funds to the university.

An online class, CU: Family Education Rights and Privacy Act (FERPA), is available through CU Employee Services. 

The Early Action office identifies students who may benefit from additional academic support and connects them to useful resources such as academic support offices, academic advisors, and student success staff.

Submit a referral when a student:

• Has multiple absences or very little engagement in class
• Needs additional academic assistance through the Learning Resources Center or other academic support office
• Has incomplete assignments or multiple low scores
• Needs help with accessing or using technology

The Office of Student Conduct and Community Standards works to decrease behavior that negatively impacts the community and create plans to move forward after an incident occurs.

They work closely with impacted community members, including students, professors, and staff.

Scheduling a Room

CAP classrooms and meeting space are in high demand and fill quickly. To avoid frustration, please plan ahead and make space requests at least one week in advance.

To schedule classroom or meeting space, go to the reception desk on the 2nd floor.

The current day's schedule is printed daily and kept in a folder at the desk. To reserve a room for the current day, simply write-in your event if space is available.

Space Assignments

Keys

Staff and faculty are assigned a key through CAP HR and will be notified when the key is ready to be picked up from the Facilities Office located at 1380 Lawrence Street.

Furniture

If you have furniture requests, email Matt Gines.

Do not make financial commitments for goods or services without prior authorization. This includes promises to pay consultants, guest lecturers, jurors, and others. 

IT Software and Hardware

IT software and hardware cannot be purchased with a procurement card. Contact Mike Harring, CAP's Information Technology Manager, who will assist you with the procurement process, including a mandatory review by the campus security review committee.

Office Supplies

Office supplies cannot be purchased with a procurement card. Please email CAP.Purchasing your office supply requests.

Procurement Cards

Employees who have regular, ongoing purchasing needs should be issued a university procurement card. Email CAP.ACard to request a procurement card and complete the required training.

Sponsorships

ADD sponsorship requirements & processes

Prior to submitting a proposal to a prospective grantor, ALL proposals for funding external to the University of Colorado must be routed through CAP's Manager of Grants and Contracts to the CU Denver Office of Grants and Contracts. 

For new projects involving external constituents or resources, such as sponsored studios and design-build projects, please see your department chair or program director.

Student Employment

Undergraduate and graduate students may be hired as student hourly assistants or as  teaching, research, or graduate administrative assistants. Refer to Hiring Student Employees for instructions and email CAP HR if you have any questions.

If the student position is funded from a grant, speak to Michelle Haynes to be sure the grant funds may be used for this purpose.

Student employees are responsible for submitting timesheets and are paid on a bi-weekly basis. Student employees and supervisors will receive a reminder email when timesheets are due for payroll. Timesheets must be approved by the supervisor before an employee can be paid.

One-Sixth Rule | Additional Pay for Consulting Work

As outlined in Regent Policy 5.C.4(D) and CU APS 1044, faculty with both 9-month and 12-month appointments, with the approval of the dean or dean’s designee, may engage in outside consultation, research, clinical, and other work provided that it does not interfere with the faculty member’s performance of assigned university responsibilities and does not involve more than one-sixth of their time.

Visual Resource Center

The Visual Resource Center (VRC) provides access to a variety of photographic and audiovisual equipment, a portfolio photography studio room with professional lighting equipment, and digital image collections.

AUGUST 15 - Executive Assistant emails Faculty Candidates with required reappointment or tenure reviews scheduled to begin in January and emails Associate Professors to see if they want to go for promotion in this cycle.

JANUARY 15 -  Faculty Candidate submits a list of proposed external reviewers to Chair.

FEBRUARY 1 - Chair forms the Primary Unit Evaluation Committee (PUEC) and the Associate Dean establishes the Dean’s Advisory Committee (DAC).

Eligibility

Tenured faculty are eligible for a sabbatical assignment after six years of service to the university. A sabbatical assignment will not be granted more than once every seven years.

• Administrative Policy Statement 1024: Approval of Sabbatical Assignments.

Submit Application through Interfolio

Eligible faculty will need to complete a Sabbatical Application Form that is subject to approval by the department chair, dean, provost, chancellor, and Board of Regents.

At CAP, we use Interfolio to collect sabbatical applications and supporting materials.

CAP Deadlines

August 15: Executive Assistant emails eligible faculty to see if they intend to apply for sabbatical for the next academic year and opens Interfolio cases. 

September 1: Faculty Candidate may begin uploading sabbatical application and supporting materials to Interfolio case.

December 15:  Faculty Candidate sabbatical application and supporting materials due.

January 15: Chair determination due.

January 31: Dean determination due.

Faculty who wish to change their approved sabbatical plan should complete the Amendment to Application for Sabbatical Assignment form and submit it to their department chair or unit head for signature.

Any change in the time frame of the sabbatical should be sent to the dean and provost for approval.

Upon completion of the sabbatical assignment, the faculty member is required to file a written substantive post-sabbatical report with the dean who submits a report to the Provost's Office each fall. 

Faculty Candidate’s sabbatical report is due no later than the end of the first semester after returning to regular duties.
